Submit Your Abstract Here

1. A lead author may submit up to 3 abstracts, but only for distinct pieces of work. There are no limits for participating as a co-author.
2. A presenting author cannot present more than one piece of work at the conference. 
3. The lead author can also be the presenting author. Should the lead author have more than 1 abstract accepted to present, the presenting author would need to be different on each abstract in order to present all accepted abstracts. 
4. The presenting author must be available to attend the full 2 days of the conference, taking on any fees associated with attending, including the cost of the conference ticket. 
5. The abstract must be written in English and grammatically correct.
6. Abstracts must be unpublished prior to submission.
7. Any author who is accepted and fails to present without prior notice to BASEM will be banned from presenting at the conference the following 2 years.
8. Abstracts that have been accepted for submission
   should have the same content that will be presented
   at the conference. Any changes to the content will disqualify the abstract. 
9. The Conference Committee reserves the right to change
   these terms and conditions and alter prize classification
   at any stage.
10. The abstract submitted to round 1 must not exceed 250 words (excluding titles).

If this is your first time applying for a BASEM Award, you will need to create an account. 

Once logged into your account you will be able to apply to all of BASEMs Awards open at that time. You are able to save and come back to applications as much as you want prior to the closing date. Any incomplete applications when the application window closes will not be put forward to the Awards Committee. 

Once the closing date has passed, the Awards team check all applications to ensure anonymity before forwarding to the Awards Committee. 

Applicants will be able to track the progress of their application(s) via their Good Grants portal. 

Applicants will receive notice of their success or otherwise 8 weeks after the closing date. Notifications will be sent via email.

Each abstract should be a maximum of 250 words and should be structured with the below headings:

• Introduction and Purpose
• Material and Method
• Results
• Conclusion

Headings have been included in the allowed wordcount on Good Grants.

Round 1:

All applications are submitted via the Good Grants platform. Once the application window is closed, applications are checked to ensure anonymity by the Awards team, before being forwarded to the Conference Awards Committee. Each member of the committee will review the applications against a standard marking template and scores will be collated. 

The 4 top scoring applications will be invited to present a Podium Presentation at the BASEM Conference. 

The following 30 highest scoring applications will be invited to present a Poster Presentation at the BASEM Conference. 

The Conference Awards Committee have the right to invite additional applications to present, should they feel the application(s) is of high enough quality. 

The Conference Awards Committee have the right to not invite the full 34 spaces to present at the conference if the applications are not of an adequate standard.

The applicants will receive notice of their success or otherwise 8 weeks after the closing date. Notifications will be sent via email.

Round 2:

Posters

Space will be allocated for the presenting authors to display their poster presentation. Posters must be in situ by 09:00 on the first day of the conference. 

The presenting author is expected to stand by their poster during breaks as much as possible to answer questions from interested parties, especially the judging panel. 

Conference Awards Committee will mark the poster against a standard marking template during the course of the conference. Scores will be collated by the Awards team and the winners will be announce during the Prize Giving on the second day. 

Podium

Prior to the conference, presenting authors will be notified of their presentation time and location. 

During the presentations, the Conference Awards Committee will mark the applications against a standard marking template.

Scores will be collated by the Awards team and the winners will be announce during the Prize Giving on the second day. 

General:

The judge’s decision is final.
